Six to twelve months out: enquire with your rough group size, destination interest and preferred months — we recommend this lead time for peak season dates, though we regularly work to shorter timelines. We’ll return a full itinerary and per-person pricing within days.

Three to six months out: confirm your itinerary, open bookings to your group, and let us lock in deposits and contracts with our partners on your behalf as numbers firm up.

One to two months out: final numbers, dietary and health details collected, and we send your group a full pre-departure guide covering packing, logistics and what to expect. From there, it’s just showing up and teaching — full process on our Retreat With Us page.

The One Thing Teachers Underestimate

It’s rarely the itinerary that causes stress for a first-time group leader — it’s collecting complete traveler information (passport details, dietary needs, health disclosures) from every guest on time. We provide a simple form template for this and chase outstanding details directly with your group if needed.

The other underestimated task is deposit collection from guests. Some teachers handle this themselves; others prefer we invoice each traveler directly. Either works — we just need to know which model you want before your itinerary is finalised, so the payment schedule matches how your group actually operates.

A Simple Communication Rhythm That Works

Teachers who’ve run smooth retreats with us tend to send their group three key updates: an initial excitement-building announcement once dates are confirmed, a mid-point logistics email once flights and paperwork are due, and a final pre-departure briefing about a month out.

We supply the content for that final briefing directly, so a teacher isn’t writing packing and logistics guidance from scratch — just forwarding and personalising what we provide.

Beyond those three touchpoints, over-communicating tends to create more anxiety than it resolves. A clear, minimal communication plan generally serves a group better than frequent smaller updates.
